This Policy explains how Q12M sp. z o.o. processes personal data in the quotation and print-ordering service.

1. Controller

The controller is Q12M sp. z o.o., ul. Wolska 44 lok. U1, 01-187 Warsaw, Poland, KRS 0000041918, NIP 527-23-50-047. Contact info@qprint.com.pl or write to the registered address marked “personal data”.

2. Data we process

  • account, login and contact details;
  • order, delivery, payment, billing and tax details;
  • quotes, carts, orders, complaints and correspondence;
  • designs, production files, assistant messages and personal data contained in them;
  • IP address, session identifiers, device/browser data, security logs and language preferences.

3. Purposes and legal bases

  • account management, quotations, contracting, fulfilment, delivery, payment and complaints — contract or pre-contract steps (Article 6(1)(b) GDPR);
  • tax, accounting and other statutory duties — legal obligation (Article 6(1)(c));
  • security, fraud prevention, claims, operational statistics and service improvement — legitimate interests (Article 6(1)(f));
  • electronic marketing and optional analytics/advertising — consent where required (Article 6(1)(a)), withdrawable at any time.

4. Recipients

Necessary data may be shared with hosting, cloud, database, authentication, email and IT providers; printers and production partners; carriers and pickup networks; payment providers; order/logistics systems; accountants, lawyers and insurers.

When the AI assistant is used, chat content and supplied materials may be sent to the configured AI-model provider to generate a response. Do not submit unnecessary or special-category data.

5. Transfers outside the EEA

Technology providers may process data outside the EEA using a GDPR-compliant mechanism, such as an adequacy decision or Standard Contractual Clauses, with supplementary measures where required. Details are available on request.

6. Retention

  • account data for the account's lifetime and any necessary claims/legal period;
  • orders and accounting records for statutory tax/accounting and limitation periods;
  • quotes, inquiries and correspondence until completion and the relevant claims period;
  • production files for quotation, fulfilment, complaint and secure handover under service retention settings;
  • security logs for a justified diagnostic/security period and consent-based data until withdrawal or earlier loss of purpose.

7. Your rights

Depending on the circumstances, you may request access, a copy, rectification, erasure, restriction, portability, object to legitimate-interest processing and withdraw consent. Contact info@qprint.com.pl; identity verification may be required. You may complain to the Polish Data Protection Authority (uodo.gov.pl).

8. Required data

Providing data is voluntary, but required fields are necessary for an account, quotation, contract, fulfilment or reply. Without them, the relevant service may be unavailable.

9. Third-party data

If you provide another person's data, you must have a lawful basis and inform them where required. Files should not contain special-category data unless necessary and agreed in advance.

10. Cookies and browser storage

The service uses essential cookies or local browser storage for login, sessions, security, carts, language and settings. Blocking them may break the service. Optional analytics or advertising technologies will require consent where applicable.

11. Automation, security and updates

Appropriate technical and organisational safeguards are used. Automated pricing and AI suggestions do not by themselves produce legal or similarly significant effects without suitable human involvement. This Policy may be updated as law, technology or services change.
